We seek a talented and ambitious Production Executive to join our fun and vibrant team.

The Production Executive is a dual-role position responsible for managing logistical operations and providing vital administrative support to ensure the smooth execution of events. This role requires a highly organised, detail-oriented, and proactive individual who can handle logistical challenges while efficiently managing administrative tasks. The executive will collaborate with internal teams, suppliers, and other stakeholders to ensure all aspects of events are executed flawlessly.

There is a mix of office-based administrative work and physical event operations, offering an opportunity to travel to a variety of event locations. As with all events roles and during busy periods, there may be a requirement for longer hours, evening and weekend work, however, you will be compensated for your time.

What you’ll be doing.

Pre-event planning:

  • Collaborate with the Production manager & events team to understand event objectives, schedules, and requirements.
  • Assist in sourcing, coordinating, and negotiating with suppliers and venues.
  • Maintain and update event materials inventory, ensuring supplies and equipment are ready for use.
  • Coordinate shipping and transportation arrangements for materials and equipment.
  • Support the preparation of event timelines and logistical plans.
  • Organise and maintain detailed event files, contracts, and other related documentation.
  • Research and compile information on potential venues, suppliers, and service providers.

Administrative tasks:

  • Serve as a support contact point for all logistical and administrative communications, schedule and organise team meetings, prepare agendas, and record minutes.
  • Handle administrative tasks such as processing purchase orders, contracts, and invoices.
  • Update and maintain event budgets, tracking expenditures and ensuring cost-efficiency.
  • Maintain accurate databases of attendees, vendors, and other stakeholders.
  • Support the creation and distribution of event documentation, such as itineraries, checklists, and Briefing Documents.
  • Ensure compliance with company policies, legal regulations, and safety protocols related to event planning.
  • There may sometimes be a requirement to be on-site for events.

Event Setup & On-Site Operations:

  • Serve as a point of contact for vendors and staff during events to address logistical concerns.
  • Ensure all event elements align with schedules, safety protocols, and quality standards.
  • Troubleshoot logistical or technical issues during the event.

Post-Event Responsibilities:

  • Oversee teardown and proper packing of event materials and equipment.
  • Ensure all items are accounted for and returned to inventory or storage with the Logistics department.
  • Support the reconciliation of invoices and payments from clients and vendors/suppliers.
  • Document lessons learned and identify areas for improvement in future events.
  • Work with the asembl. purpose and values at the top of your mind in everything you do.

What you’ll need.

  • Experience in event logistics, operations, or a related administrative role.
  • Exceptional organisational and multitasking abilities.
  • Proficiency in office software (e.g., Microsoft Office, Google Workspace) and event management tools.
  • Strong communication and interpersonal skills.
  • Ability to lift and carry heavy items for event setup and teardown.
  • Availability to work flexible hours, including evenings, weekends, and holidays.

Preferred:

  • Knowledge of AV equipment and technical setup.Familiarity with project management software (e.g., Monday.com).
  • Experience managing administrative tasks within an events or logistics context.
  • Background in database management and financial tracking.
