We seek a talented and ambitious Project Executive to join our fun and vibrant team at our event management agency, asembl.

The Project Executive role is an integral part of the asembl. events agency team. The focus is to work closely with senior project managers, project managers, and account managers, supporting the team in delivering a wide range of in-person, hybrid, and digital experiences.

What you’ll do:

  • Help colleagues fulfil the needs of their clients regarding events, venue projects, and any other services they request.
  • Undertake administration on behalf of senior team members and for your projects, both under supervision and working alone.
  • Help with day-to-day office tasks such as postage, couriers, purchasing and other related tasks.
  • Perform product, print and venue sourcing and use negotiation where needed to get the best for us and our clients.
  • Assist in various event requirements from start to finish using a range of systems available to you.
  • Be responsible for recording your time spent on projects, as your time will be chargeable on some occasions, as guided by a senior team member.
  • If required, attend and assist at events, site visits, planning meetings, and technical meetings throughout the UK and internationally.
  • Ensure all administration relating to your role is completed as necessary, including personal timesheets, expenses, invoicing, commission payments, and ensuring customers pay according to their terms.
  • Help with customer and supplier contracts.
  • Help manage databases where necessary and help with data input in our core systems.
  • Liaise with colleagues and clients on current projects and work to gain new business during your work (if dealing directly with the end user).
  • General assistance to support the demands of the business, whatever these may be.

What you’ll need:

  • The right qualifications to support the role application, whether from college or work experience.
  • A general understanding of why businesses use event management agencies.
  • A want to succeed at everything you do.
  • Excellent verbal and written communication skills.
  • A great customer mindset – think like a customer would think (we expect 100% Customer Satisfaction!).
  • The ability to work across different cultures and time zones (where necessary).
  • PC literacy – World, Excel, PowerPoint and web technology-based products.
  • Be able to travel for business trips with overnights – UK and overseas.
  • A passport is required for travel.
  • Full driving license and comfortable driving to meetings, networking events, and similar events across the UK.
  • Sometimes our projects require flexibility for weekends, evenings, and ad hoc hours, which is shared across the delivery team.
